tuition information

The deadline for payment of the tuition balance is 14 days prior to the start of your camper’s camp. If payment is not made by midnight at deadline, the registration system will automatically charge the credit card associated with the camper’s account.

pick-up

Pick-up takes place at your camper's cabin after closing activities at 2:30pm on Sunday. Please be sure to pick up your camper up by 3pm on closing day. After 3pm, your camper will be located at the office for pick-up.

arriving late or leaving early

Our goal is for campers to experience the UNFORGETTABLE for the duration of camp, but if your camper must arrive late or leave early, please submit the Late Arrival or Early Check-Out form. If your camper will be riding home with someone other than his/her parent/guardian, please submit the Alternate Pick-Up form.

cancellations

Per the cancellation policy, all tuition paid with the exception of the $100 deposit is refundable if your camper’s registration is cancelled prior to 72 hours of the start date of camp. The $100 deposit is non-refundable and is only transferrable to another camp registration for the camper or to the camper’s sibling who is also registered for camp.

If you cancel your registration within 72 hours of the start date of camp, the entire tuition will be forfeited.

spending money

All campers are required to add a minimum of $10 to their Trading Post account online. However, additional funds may be added to the camper’s Trading Post account via the parent portal at any time leading up to camp or during camp. Campers will be able to visit the Trading Post several times throughout the WKND. The Trading Post offers a snack shop, gift shop, and gameroom. The coffee shop is located on the ground floor of the chapel. Middle school and high school campers may sign up to play paintball. The estimated spending money amounts per age group follow:

  • Elementary School - $20-$40

  • Middle School - $30-$50

  • High School - $40-$60

Unused store credit that is not designated as chapel offering by the camper will be refunded electronically. Retail outlets cannot accept cash payments.

contacting your camper

We are very thankful that you have entrusted your camper to us while at camp, and we assume the responsibility for their care. We cannot permit personal phone calls (incoming or outgoing) or personal visitations during the camp session. In the case of an emergency, you will be notified promptly. If a serious concern arises, please contact the office.

visiting policy

While camp is in session, visitors are prohibited unless permission has been granted by the office prior to the visit. Guests are required to check-in upon arrival and check-out at the camp office. Guests are required to remain with Woodlands' staff while on camp property. Woodlands Camp reserves the right to decline any visitation request. If a visitor knowingly fails to comply with any camp policy, he or she will be asked to leave the premises. If necessary, local authorities will be contacted.

how do I set up my camper’s roommate request?

Roommate requests must be sent AND accepted via the parent portal at least two weeks before your camper's week of camp starts.

Campers may have a maximum of six campers in their roommate chain.

Go to www.woodlandscamp.org and click on parent portal. Login and click on “Registrations,” then your camper’s name/week of camp, “Roommate Request” and “Edit”. You may either accept a roommate request by entering a request code that has been emailed to you by the other parent or you may make a request yourself. To make a request, enter the first and last name of the roommate and his/her parent’s email address. A roommate invitation containing a request code will be emailed to the other parent. The parent will use that request code to accept your request.

what do I do if my camper has a food allergy?

Meals served by the Woodlands’ kitchen are nut-free. Some food products in in the snack shop and coffee shop, however, are not allergy-sensitive. Please educate your camper about any food allergy concerns before camp. Campers with severe food allergies that require medical intervention will be given a red wristband by our health team at check-in. This red wristband will alert our staff that your camper has a prescribed epipen in case of an emergency.

Visit our health and safety information page to learn more about the health and safety policies and procedures and to submit the food allergy form to our kitchen staff. For food-related questions, please contact our foodservice manager at foodservice@woodlandscamp.org. For medical questions, please contact our healthcare manager (Camden) at cmichaud@woodlandscamp.org.

offering

Each week, we teach our campers the joys in giving generously. Campers are given the opportunity to voluntarily give offering at one chapel service. WKND Camp offerings are donated toward camper scholarships.

cell phone/technology policy

Our vision for Woodlands is to create an environment where campers disconnect from devices—just for a week. And in doing so, they are disconnecting from the noise and influence of culture, creating a significant void in their lives to be filled instead with an UNFORGETTABLE camp experience.

Cell phones and other electronic devices are not permitted at camp.

If you need to communicate with your camper, please call the camp office. If an emergency arises, please call the emergency contact number
(706-865-0853x122). In the event of any type of emergency at camp, parents/guardians will be contacted promptly. Camp staff includes at least one RN on-duty and health assistants who are available 24 hours a day. Additionally, a doctor is on-call during camp sessions.
